Job Summary:
We are seeking an Events Coordinator to plan and execute small and large-scale meetings, including workshops and public events for our researchers and authors, in addition to providing support to our marketing team with our presence at conferences. This role will organize logistics, negotiate venue and vendor contracts, track spending toward established budgets, and ensure the successful execution of events, often in the Washington, D.C. area.
This is a full-time, permanent position open to candidates across the US, with a preference for those based on the East Coast. The estimated annual salary range for the role is $50,000-$70,000, based on experience. The Event Coordinator will report to the Director of Marketing and Communications.
Responsibilities:
- Plan and execute research workshops and public events.
- Manage event spending and logistics (venue, catering, hotel contracts, A/V, etc.).
- Coordinate conference tabling with the marketing department.
- Handle event promotion, attendee communication, and registration.
- Liaise with speakers, vendors, and attendees.
Qualifications:
- 1-3 years of event planning/marketing experience (college/university or professional).
- Alignment with the mission of the Independent Institute.
- Strong organizational, communication and negotiation skills.
- Ability to manage multiple projects and meet deadlines.
- Experience with budget management.
- Familiarity with the Washington, D.C., event landscape, and experience coordinating virtual events are a plus.
- Ability to travel up to 10% of the year.
