Position Summary

PJI is seeking an organized, detail-oriented HR & Operations Assistant. This position will work closely with the Director of Operations to support human resources, recruitment, employee onboarding, record-keeping, and general administrative functions. The ideal candidate will exercise sound judgment, maintain strict confidentiality, communicate professionally, and manage multiple responsibilities with accuracy and efficiency.

This is a full-time role that can be based in office in Fullerton, CA or virtually from anywhere within the U.S. Virtual candidates are expected to work in Pacific Time. The HR & Operations Assistant reports directly to the Director of Operations.

RESPONSIBILITIES

  • Answer and screen telephone calls and respond professionally to emails and live-chat inquiries.
  • Provide general administrative support to the Director of Operations and operations team.
  • Enter, update, and maintain accurate information within PJI’s donor relationship management system.
  • Provide administrative support to other departments as needed.
  • Assist with recruitment activities, including posting job openings, scheduling interviews, and communicating with candidates.
  • Prepare onboarding materials and help ensure that new employees complete all required documentation.
  • Maintain accurate and confidential employee records in accordance with organizational policies and applicable requirements.
  • Assist with employee communications and routine HR-related administrative requests.
  • Prepare and maintain HR reports, including headcount, turnover, recruitment, and other operational metrics.
  • Support the Director of Operations in administering PJI’s employment policies and compliance procedures.
  • Perform other administrative and HR-related duties consistent with the mission, goals, and operational needs of Pacific Justice Institute, as assigned by the Director of Operations.

Experience

  • 1+ years of experience in human resources, office administration, operations, or a related role.
  • Previous experience handling confidential employee or organizational information is preferred.
  • Ability to travel, up to 10%.
  • Experience with nonprofit organizations or donor management systems is helpful but not required.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to learn and accurately use CRM and HR information systems.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and organizational ability.
  • Ability to prioritize assignments and manage multiple deadlines.
  • Professional judgment and discretion when handling confidential information.
  • Support for PJI’s mission of defending religious freedom, parental rights, the sanctity of life, and other civil liberties.
  • Strong work ethic and commitment to high standards of integrity and professionalism.
  • Ability to work independently, take initiative, and collaborate effectively with others.
  • Dependable, responsive, and service-oriented.

Compensation

The salary range for this role is $52,000 – 58,000, depending on skills and experience.
