Job Summary:
The Senior Operations Manager provides high-level operational support to the organization’s leadership team, serving as the point of coordination for scheduling, travel, expense management and executive logistics. This role is part of the Operations team that provides centralized business support across the organization, with a dedicated focus on supporting the leadership team as a distinct operational unit.
The position requires a strong understanding of organizational priorities, stakeholder dynamics and business operations to support informed decision-making at the executive level. The Senior Operations Manager ensures seamless day-to-day operations to help align our executive team’s time and priorities with organizational needs.
This role will report to ExcelinEd’s Director of Operations and can be based in a virtual office anywhere within the United States.
Essential Duties and Responsibilities:
Leadership Support
- Supports multiple senior leaders whose work spans across the organization’s policy, advocacy, communications and administration functions.
- Serves as a liaison between organizational leaders and key internal and external stakeholders, facilitating communication and coordination.
- Manages multiple calendars, ensuring alignment with organizational priorities; continually reviews on a daily, weekly and monthly basis.
- Understands the organization’s key stakeholders and priorities, recognizing the relative importance of requests to appropriately prioritize and facilitate leadership engagement.
- Arranges frequent and complex travel; prepares comprehensive travel materials with meeting agendas and logistical details; proactively anticipates and quickly resolves travel-related issues to minimize disruption.
- Maintains the highest standards of confidentiality, professionalism and discretion.
Business Operations
- Serves as a knowledgeable resource for organization-wide administrative and operational systems, providing guidance to staff, ensuring adherence to policies and troubleshooting issues with vendors and internal users as needed.
- Tracks, reconciles and processes monthly expense reports and time certification forms in compliance with organizational policies.
- Compiles briefing materials, talking points and background research for meetings and events to support engagement; coordinates follow-up actions, capturing next steps and ensuring timely execution.
- Develops and maintains standard operating procedures for executive support and cross-functional workflows to promote consistency and continuity.
- Identifies opportunities to improve efficiency and streamline workflows across executive operations and throughout the organization.
- Partners with internal team members to assess new tools or technologies to improve efficiency and productivity.
Preferred Skills/Qualifications:
- Ability to operate with a high degree of autonomy and judgment, often serving as the first line of evaluation for meeting requests and external engagement.
- Proven ability to manage complex tasks for multiple executives.
- Strong organizational, problem-solving and prioritization skills with excellent attention to detail.
- Ability to manage competing priorities in a fast-paced environment.
- Exceptional written and verbal communication skills.
- High degree of discretion, judgment and professionalism.
- Proficiency with scheduling platforms, expense reporting tools and Microsoft 365. SAP Concur experience preferred.
Requirements:
- 5+ years of experience in executive support, operations management or related role supporting senior leaders.
- Alignment with ExcelinEd’s mission.
- Bachelor’s degree in business administration, operations or related field preferred; equivalent experience considered.
