About the Role

The Director of Operations will be responsible for keeping Gevura’s program, engagement, and internal team execution organized, on track, and moving forward.

The Director of Operations will work closely with the Vice President of Operations on administrative systems, HR documentation, records, board/admin support, SOPs, workflows, and compliance-related processes, while owning execution and team follow-through.

This role is intended to reduce the amount of day-to-day execution and follow-up currently falling to leadership, allowing the Executive Director to focus on strategy and external leadership, while allowing the Vice President of Operations to focus on final operations oversight, fiscal responsibilities, internal infrastructure, and support for the President, Executive Director, and Board.

The Director of Operations reports to the Executive Director and manages two team members, the Education Coordinator and Community Engagement Coordinator. The Director may work remotely from anywhere in the United States, but must work standard East Coast business hours.

Responsibilities

Team Management & Accountability

  • Manage the Education Coordinator and Community Engagement Coordinator
  • Conduct biweekly check-ins with direct reports and additional check-ins as needed.
  • Assign tasks, set deadlines, and follow up to ensure completion
  • Provide guidance, structure, and accountability to help team members stay focused on priorities
  • Monitor staff progress and identify areas where additional assistance or clarification is needed
  • Coordinate performance assessments for employees under their supervision
  • Escalate concerns or performance issues to leadership when needed

Project, Task & CRM Management

  • Oversee ongoing projects across the education, community engagement, outreach, and membership-related areas
  • Maintain visibility into project status, next steps, deadlines, and responsible parties
  • Identify stalled projects, gaps in execution, or areas where additional help is needed
  • Manage day-to-day CRM usage across the team
  • Ensure contact lists are accurate, updated, and properly segmented
  • Assign and monitor tasks in the CRM
  • Confirm that team members are logging interactions, follow-ups, and relevant notes
  • Support CRM tracking related to outreach, engagement, and future membership activity
  • Help develop and organize membership-related workflows as the program grows
  • Suggest CRM improvements and help execute updates to improve team workflow

Team Meetings & Leadership Reporting

  • Run weekly team meetings
  • Prepare agendas and keep meetings focused and organized
  • Document action items, owners, and deadlines; send meeting summaries
  • Ensure team members understand their next steps and responsibilities
  • Provide weekly updates to the Vice President of Operations and Executive Director on project status, team progress, membership activity, and overall organizational health
  • Provide regular project updates to the President as needed
  • Monitor organizational goals and ensure progress
  • Flag urgent issues, delays, or concerns to leadership in a timely manner

Shared Operations Support & Process Improvement

  • Assist with administrative operations and internal systems
  • Maintain HR documentation, onboarding records, and personnel files
  • Coordinate board and administrative meeting support
  • Maintain digital records and filing systems
  • Support SOPs, workflows, and compliance-related processes

Qualifications

  • 3+ years of relevant work experience, including managing people, projects, or internal operations
  • Strong interest in and alignment with Gevura Fund’s mission
  • Strong organizational and follow-up skills
  • Experience assigning tasks, tracking deadlines, and holding team members accountable
  • Comfort managing multiple priorities in a fast-moving environment
  • Strong written and verbal communication skills
  • Experience using CRM systems, project management tools, or similar internal tracking systems
  • Ability to run organized meetings, create agendas, and follow up on action items
  • Experience with membership programs, stakeholder engagement, nonprofit programs, or community outreach preferred
  • Ability to work closely with senior leadership and provide clear, concise updates
  • Strong judgment and ability to identify when issues need to be escalated
  • Proactive mindset and ability to suggest improvements, not just complete assigned tasks
  • Comfort working in a growing nonprofit environment where systems are still being built and refined
  • Ability to balance independent ownership with close coordination with the Vice President of Operations
  • Ability and willingness to travel occasionally (up to 10%)

Proposed Salary Range

The target salary range for this role is $95,000 – $100,000 annually plus benefits.
