We operate the largest private database of public spending in human history, with more than 10 billion data points covering federal, state, and local government salaries, pensions, and line by line spending across all 50 states and more than 17,000 municipalities.
Our database is open to journalists, researchers, public officials, and taxpayers. We also produce investigative reporting that uses this data to expose waste, fraud, abuse, and self dealing across every level of government.
About the Role
We are a lean, mission-driven nonprofit with an annual budget of approximately $3 million seeking a highly organized and reliable Executive Assistant / HR & Accounting Support professional. This is a hybrid operations role designed for a small organization where trust, discretion, and follow-through are essential.
This individual will serve as the CEO’s right hand for scheduling and coordination, while also managing core HR administration and providing light accounting and finance support. The role is hands-on and wide-ranging, ideal for someone who enjoys wearing multiple hats in a fast-paced environment.
This is a full-time role, based in a virtual office. Preference will be given to candidates based in the Washington, DC area or near Knoxville/Frederick, Maryland, but qualified candidates located elsewhere in the United States will be considered.
Key Responsibilities
Executive Assistant Support

- Manage the CEO’s calendar, scheduling internal and external meetings
- Coordinate CEO meetings, logistics, and meeting preparation
- Track follow-ups, action items, and ensure timely execution
- Serve as a point of contact for CEO-related communications
HR Administration

- Maintain employee records and documentation
- Manage benefits administration and liaise with benefits providers
- Track and handle basic HR administration
- Serve as liaison with external HR vendors or consultants
Accounting & Finance Support

- Process invoices, expense reports, and reimbursements
- Assist with donation tracking and document organization
- Liaise with external accountant and other vendors
- Support month-end and year-end financial processes as needed
General Operations

- Maintain internal files, systems, and documentation
- Provide general administrative and operational support as needed
Ideal Candidate
- 1-4+ years of experience as an Executive Assistant, Office Manager, or Operations Coordinator
- Highly organized, dependable, and detail-oriented
- Comfortable handling confidential information
- Strong communication and follow-through skills
- Familiarity with basic HR and accounting processes (nonprofit experience a plus)
- Thrives in a small organization with broad responsibilities
