About the Role

The Ludlow Institute is seeking an exceptionally organized and detail-oriented Operations Manager to help keep our fast-moving nonprofit running smoothly. You’ll oversee the flow of tasks, track organizational priorities, and ensure that every project, deliverable, and donor interaction is completed accurately and on time.

This is a critical support role for someone who thrives on precision and accountability. You’ll manage task pipelines, double-check work across departments, ensure proper archiving of receipts and donor correspondence, and follow up with team members to make sure nothing slips through the cracks.

The role reports to the President of the Ludlow Institute and will directly supervise a team of 10, ensuring clarity, accountability, and alignment across all projects. The role can be executed virtually from anywhere in the United States. Occasional travel may be required for team meetings or events.

Responsibilities

  • Maintain a master task list across all Ludlow projects and team members, ensuring timely follow-up and completion
  • Track requests and priorities from leadership, confirming that each item is assigned, actioned, and reported back
  • Review deliverables for accuracy, clarity, spelling, and completion before submission or publication
  • Oversee archiving systems for receipts, donor acknowledgments, and operational documentation
  • Ensure donor thank-you letters and receipts are generated, proofread, and filed correctly
  • Monitor deadlines and follow up with staff to keep projects on schedule
  • Maintain a bird’s-eye view of all organizational workflows and identify any gaps or delays
  • Support cross-department coordination between research, media, and administrative teams
  • Suggest and implement systems to improve task tracking, communication, and efficiency

What We’re Looking For

  • 3–5 years of experience in operations, project management, or executive support roles, with a proven track record of keeping complex organizations running smoothly
  • Demonstrated experience supervising or coordinating the work of team members to ensure timely project completion and accountability
  • Extraordinary attention to detail and follow-through
  • Highly organized and methodical, with excellent task-tracking skills
  • Strong written communication and proofreading ability
  • Comfortable managing multiple projects at once without losing accuracy
  • Reliable, proactive, and capable of anticipating next steps
  • Experience with project management or workflow tools (eg. Monday.com)
  • Alignment with the Ludlow Institute’s mission: advancing privacy, freedom, and digital rights

Bonus

  • Background in nonprofit operations, executive assistance, or donor management
  • Familiarity with digital privacy tools or the tech space

Compensation

The salary range for this role will be commensurate with the experience of the applicant.
