Position Overview
As a growing private foundation and family office, we are seeking a proactive and organized Operations Associate to support the Director of Operations and the principals’ Executive Assistant. The Operations Associate will support and advise on initiatives related to organizational effectiveness, operational strategy, cross-functional coordination, and information security, exercising discretion and independent judgment in evaluating options and recommending solutions.
The ideal candidate demonstrates strong attention to detail, organizational skills, ability to work independently, problem-solving capabilities, ability to manage multiple tasks efficiently and effectively in a fast-paced environment, and the ability to handle confidential information in a professional manner. The ideal candidate for this role will be mission-driven and believe in the philanthropic priorities of the foundation.
The Operations Associate reports to the Director of Operations and will work from the Foundation’s Washington, DC office. (Work from home allowed Mondays and Fridays.)
Flourishing Families
The foundation sees a bright future for all American families to flourish. This requires both culture change and policy change that empowers individuals and their communities. The foundation is newly building this grantmaking area. Issues of interest include:
- Combating the harms of social media and other digital technologies on children and families.
- Strengthening opportunities for boys and men and helping them thrive.
- Developing evidence-based standards for pro-family policies at all levels of government.
- Fostering original research to understand what practices and policies best support family flourishing.
- Building novel approaches for supporting family growth and formation.
- Empowering and encouraging parenthood strengthening programs and parental rights.
- Supporting pluralistic solutions for families, including programs that support gay parents and their families and respect for religious liberty.
Responsibilities
Operations and Administration
- Support and advise the Director of Operations on initiatives related to organizational effectiveness, operational strategy, cross-functional coordination, and information security, exercising discretion and independent judgment in evaluating options and recommending solutions.
- Independently assess, test, and recommend business software, systems, and process improvements to advance productivity and operational goals, including evaluating cost, risk, scalability, and implementation impact.
- Maintain CRM database, identifying systemic issues, developing corrective approaches, and advising Director of Operations on best practices to support business continuity and data integrity.
- Manage components of financial administration, including expense review, documentation, and tracking, ensuring accuracy, compliance with internal controls, and alignment with organizational policies.
- Coordinate with Executive Assistant and the team to plan for principals’ meetings, travel, and events, applying judgment to anticipate needs, resolve issues, and ensure alignment with organizational priorities.
- Partner with the Washington, D.C. office manager to streamline office operations, including inventory strategy, vendor and delivery coordination, and workspace standards, making independent decisions within established guidelines.
Research and Writing
- Build subject-matter knowledge aligned with the organization’s mission and strategic objectives by independently reading news, commentary, and relevant publications.
- Collect, analyze, and synthesize publicly available financial and sector data from governmental, philanthropic, and industry sources to inform operational planning, budgeting considerations, and program development.
- Draft, review, and advise on internal and external communications, including correspondence, memoranda, presentations, and briefing materials, exercising judgment regarding content, tone, and audience.
- Prepare and maintain professional biographies, background materials, and briefing documents for stakeholders, ensuring accuracy and strategic relevance.
- Edit and refine written materials to ensure clarity, consistency, and adherence to organizational standards and messaging priorities.
- Participate in meetings to synthesize discussions, identify implications for operations or strategy, and document decisions and action items, translating outcomes into recommendations or follow-up plans.
Organizational
- Regular and reliable attendance.
- Familiarize oneself with and follow the Employee Guide and organizational policies.
- Ensure any time tracking, electronic-time cards, expense reports, and correspondence is completed accurately and on time.
- Other duties as assigned from time to time.
Qualifications and Attributes
- Bachelor’s degree or equivalent work experience, and one (1) or more years of experience.
- Mission-driven and belief in the philanthropic priorities of the foundation.
- Ability to work independently and is able to handle multiple, concurrent responsibilities and numerous projects with tight deadlines.
- Ability to handle confidential and private information in a discreet and professional manner.
- Strong attention to detail.
- Strong skills in Microsoft Office Suite and experience with, or willingness to learn, data management software.
- Team-oriented, adaptable, proactive, and able to operate within established processes.
- Ability to travel up to 20% of the time.
Compensation
$65,000-$75,000. This range is a good-faith estimate, and the final salary offered to a selected candidate depends on a variety of factors including, but not limited to, the candidate’s experience, education, and other qualifications.
